Sacred Heart School – Ateneo de Cebu values the privacy of our students, parents, employees, and partners. When you interact with us, you may be asked to provide personal information with us which allows identification of you as an individual (e.g. name, email, address, contact numbers). This is known as “personal information”.

This Privacy Notice applies to the personal information that we collect about you for the purposes of providing you with our academic offerings, educational services, or career opportunities. By enrolling your children or working with Sacred Heart School – Ateneo de Cebu or by giving us your personal information, you accept the practices described in this Privacy Notice. Sacred Heart School – Ateneo de Cebu reserves the right to make changes to this Privacy Notice at any time. Information We Collect, Acquire, and Generate

We collect, acquire, or generate your personal data in many forms. This data is initially collected when applying for admission or seeking employment at Sacred Heart School – Ateneo de Cebu. They may consist of written records, photographic and video images, digital material, and even biometric records. Examples include:

Personal information such as names, birthdates, addresses, photographs, and contact information from its students, parents, and employees. Additional information is also collected that is specific to students (e.g. medical information, psychological test results, academic and disciplinary  records, family background, school history) and employees (e.g. work history, medical information, psychological test results, regulatory ID numbers).

Academic, disciplinary, and psychological information such as students’ attendance, grades, conduct, and subjects are generated over the course of the school year through monitoring, assessments, counselling, and various school activities done by teachers and counselors.

Video and photographs documenting school activities are captured by official school photographers over the course of the school year for documentation purposes.

For safety and security, Sacred Heart School – Ateneo de Cebu has a CCTV system recording video at points of access and public spaces.

How We Use Your Information

Information collected from students is primarily used for their monitoring, record-keeping, discipline, and educational advancement. Medical information and psychological results may be shared with outside medical and counseling professionals for the well-being of our students. Religion and cultural information of students may be used for differentiated offerings (e.g. Language classes, spiritual formation and services).

Information collected from parents is primarily used for record-keeping, identification of parents / guardians, and communication for school events and programs including community building engagements.

Information collected from employees is primarily used for identifying career opportunities, processing payroll and regulatory requirements. Medical information and psychological results may be shared with outside medical and counseling professionals for the well-being of our employees.

This information is shared with third-parties providing technical support to the school. (e.g. employee and student management systems)

CCTV Footage may be used for security, disciplinary, administrative, and legal investigations.

How We Share, Disclose, or Transfer Your Information

In the interest of concerned students, Sacred Heart School – Ateneo de Cebu may share personal information in the application to various 3^rd party programs such as athletic and academic competitions and scholarship programs

Academic information (i.e. Transcript of Records) is submitted to the next educational institution when a student leaves Sacred Heart School – Ateneo de Cebu.

Names and photographs of students may be publicly recognized for academic and/or athletic achievements. Names may be publicized as part of admission results and/or recognition day activities.

Video and photographs captured by official photographers during school events and activities may be used for promotional purposes.

Various information may be aggregated and submitted for compliance to government regulatory bodies (e.g. DepEd) and accrediting organizations (e.g. PAASCU)

How We Store and Retain Your Information

Personal data is stored and transmitted securely in a variety of paper and electronic formats, including databases that are shared between the school’s different departments or offices. Access to your personal data is limited to school personnel who have a legitimate interest in them for the purpose of carrying out their contractual duties. Rest assured that our use of your personal data will not be excessive.

Information from students / parents no longer affiliated with the school is retained for a period of 5 years from the date the student has left the school. Academic information is retained in perpetuity to provide Transcript of Records to alumni. Contact information is retained for maintaining alumni directories.

Employee information is retained for a period of 5 years from the date of the employee’s conclusion of service with the school. This period can be extended upon request for purposes of securing Certificate of Employments in the future.

CCTV Footage not used in any investigation is automatically deleted after a period of 30 days.

Sacred Heart School – Ateneo de Cebu reserves the right to retain certain disciplinary information on individuals for the protection of its students, employees, and institution.
